This policy explains what personal information we collect when you use solentprint.co.uk, place an order, open an account or contact us — and what we do with it. Anything in [SQUARE BRACKETS] must be confirmed or completed before publishing.

The information we collect
When you order, request a quote or open an account: your name, business, club or school name, email address, phone number, billing and delivery addresses, your order details and order history.
Artwork and personalisation: logos, designs and artwork files you upload or send us, and any personalisation details for garments — names, initials and numbers. We keep artwork and digitised stitch files on record so that reorders match previous orders exactly (see "How long we keep it").
Payments: card payments are processed by Stripe. We do not see or store your full card number. For trade accounts we hold the business and invoicing details needed to run the account.
When you contact us: the contents of emails, enquiry forms and messages, and notes of phone conversations, calls may be recorded for training and quality purposes.
Automatically, when you use the website: IP address, browser and device information, pages visited, and site preferences such as your VAT display setting. See "Cookies" below.
From other people: if your employer, club or school places an order that includes your name, size or role, they provide that information to us as part of their order.
How we use it, and our legal grounds
To provide quotes, process orders, take payment, produce your garments and arrange delivery — necessary to perform our contract with you.
To keep your artwork, logos and stitch files on record so future orders match previous ones — our legitimate interest in providing a consistent service, and because customers expect it. You can ask us to delete your artwork at any time.
To run customer and trade accounts, including invoicing and credit control — performance of contract and our legitimate interests.
To keep records for tax and accounting — our legal obligations.
To send marketing about our products and services — only with your consent, or to existing customers about similar products with an unsubscribe option in every message. You can opt out at any time via the unsubscribe link or by emailing hello@solentprint.co.uk.
To keep the website secure, prevent fraud and improve how the site works — our legitimate interests.
We do not use your information for automated decision-making or profiling.
Personalisation and children
Orders for schoolwear, teamwear and leavers hoodies often include children's names or initials. We use these only to decorate the garments ordered, hold them only as part of the order record, and never use them for marketing. Our website and marketing are directed at adults.
Who we share it with
We share personal information only with service providers who help us run the business, and only what they need:
- Payment processing: Stipe
- Delivery: Royal Mail & DPD
- Website hosting and IT support: Outright Hosting Limited
- Accountancy and bookkeeping: Xero
- Email and marketing platform: Outright Hosting Limited
These providers act on our instructions and cannot use your information for their own purposes. We may also disclose information where the law requires it. We never sell personal information.
International transfers
Your information is stored in the UK and the European Economic Area.
How long we keep it
Order and invoice records: six years plus the current year, as required by UK tax law.
Artwork, logos and digitised stitch files: for as long as you remain a customer, so reorders match — deleted on request at any time.
Customer accounts: while the account is active, then deleted within [e.g. 12 months] of closure.
Enquiries that don't become orders: 12 months
Marketing lists: until you unsubscribe.
Cookies
The website uses essential cookies to make it work — keeping items in your cart, keeping you signed in to your account, and remembering preferences such as VAT display. These don't require consent.
You can block or delete cookies through your browser settings, though parts of the site (such as the cart and account login) may stop working.
Your rights
You have the right to ask us for a copy of your personal information; to correct it; to delete it; to restrict or object to how we use it; to receive it in a portable format; and to withdraw consent where consent is our basis for using it. None of these rights are absolute — for example, we must keep invoice records even if you ask for deletion — but we will always explain our answer.

If you're unhappy with how we've handled your information, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113 — though we'd welcome the chance to sort it out directly first.
Security
We protect personal information with appropriate technical and organisational measures, including encrypted connections to the website, access controls, and secure storage. No system is completely secure, but we take reasonable steps to protect what you give us.
Changes to this policy
We'll post any changes on this page and update the date at the top. Significant changes will be flagged on the website.
